In this document, you will see how Mimecast for your mobile device works, what features and functionality it has, and a summary of the app itself will be at the end of the document. To begin, download the Mimecast Mobile app by going to either the Google Play Store, or the Apple App Store, depending on if you have an Android, Blackberry or Apple device. Search for “Mimecast Mobile,” which is published by “Mimecast Ltd”.
What can it do? – Fingerprints
The mobile app for Mimecast will allow you to check your secure messages, those that are on hold, and manage who can or can’t send to you, just like in the Personal Portal and the Outlook Add-in. Just like the Outlook Add-in, the verification process is simplified after the initial setup. You will have to create a passcode as a backup form of accessing the app, with the primary method being fingerprint recognition. By default, the app will ask you to confirm your fingerprint after 15 minutes of the app not being used. This includes if you decide to close the app entirely, meaning you can reopen it within the 15 minutes and you will not have to re-confirm. If you would prefer to enter the passcode you create instead, you can do that instead of using your fingerprint.
What’s different about the app?
The app will allow you to do all of the same functions as the Personal Portal and the Outlook Add-in, but from your mobile device. With it, you can access the messages being held, as well as permit or reject messages faster, manage senders with ease, and can allow you to search for emails quickly.
Messages on hold
With the app, you can permit or reject messages with a few taps. To begin, pressing the 3 lines in the top left of the screen (which we’ll call the Menu Button) will take you to the main page, where you can see all the functions. From the “Personal On Hold” tab, you will see the messages that are on hold. If you tap the icon of the three lines with a pencil, you can bring up the review window, where you decide what to do with the emails.
Default Actions for Rejecting and Releasing
Not only can you release or reject these emails, but you can also setup a default for both options in the Settings tab. If you hit the Menu Button and scroll to the bottom to the “Settings” tab, you will find various options that you can configure. By tapping the arrow on either “ON HOLD EMAIL RELEASE/REJECT” you will be brought to another page that will allow you to set a default for either releasing or rejecting a message. You can either just Reject/Release an email, or also block or permit that email address, or even block or permit that domain to send to you.
With Mimecast Mobile, you will be able to manage people who send to you with a few taps. Begin by tapping the Menu Button and then tapping “Managed Senders,” you will now be at the Managed Senders menu. From here you can view who is already Blocked, Permitted, or Auto-Permitted, and add email addresses or domains to either of the first two of these lists. To begin, tap which list you want to add an email address to, in the example, hitting the (+) icon will let us add an email address or domain to the Blocked list. If you tap “All,” a menu will drop down allowing you to see the current list by just Senders, Domains, or All of the above. This is an easy way to help search who you may or may not have permitted or blocked. You can also tap the filter button on the right of the “Blocked” menu and search for managed senders through there.
One of the added benefits of the mobile app is that you can easily search all the emails that had been sent, and save those searches as well. This saving function will make it easy to check and see if a specified sender has sent to you, if your email had gone through by searching outbound, to search via attachment type, or any of the above options.
Tap the Menu Button and you will find the Search section. The Quick Search (pictured on the left) will let you choose which fields to search with by tapping them and entering the information. With the Advanced Search (pictured on the right), you can enter the information on one screen before running the search.
Refining and Saving a Search
You can also Refine or Save a search. Refining a search will let you add or remove search criteria, if you want to change variables such as attachment type, date range, sender/recipient and other options. Saving a search will let you run a search with the criteria you specified earlier with just a tap. Both of these options are available once you run a search. Refining a search will take you back to the initial search page, while saving a search will bring up a prompt, asking you to name the search. To access a Saved Search, hit the Menu Button and tap the “Saved” option. You can also see the searches you had recently run by tapping the “Recent” option.
